1: IT Administrator

IBSTEC is currently seeking a skilled and motivated IT Administrator to join our growing team. If you have hands-on experience in IT systems management, particularly in VoIP technologies, and a passion for optimizing network infrastructure, we want to hear from you!

Job Responsibilities:

  • Design and implement VoIP networks, including hardware and software selection.
  • Monitor and troubleshoot VoIP systems to ensure optimal performance and minimal downtime.
  • Collaborate with IT teams to integrate VoIP systems with existing network infrastructure.
  • Manage and support VoIP solutions, including FreePBX, Elastix, and ViciDial.
  • Provide technical support and training to end-users.
  • Ensure the security of IT infrastructure, protecting against unauthorized access, cyber threats, and data breaches.
  • Monitor network performance, ensuring system availability and reliability.
  • Maintain an inventory of all IT equipment, software, and licenses.
  • Plan and execute routine maintenance, upgrades, and patches.
  • Troubleshoot and resolve network issues and outages.
  • Regularly evaluate IT systems to meet organizational demands.
  • Implement and manage Virtual Private Networks (VPNs) to ensure secure remote access.
  • Understand and manage routing and switching protocols.

Requirements:

  1. Bachelor’s preferably in IT or Computer Science or any other relevant field.
  2. Familiarity with tools like Iccabi, Cordic, Cab9, VipVoIP, Avaya phones, Cisco phones, Yealink phones, WebRTC, Zoiper, and Eyebeam is a plus

2: IT Technical Support Intern

We are looking for a motivated IT Intern to assist our IT department in maintaining and supporting daily technology operations across all branches.

Key Responsibilities:

  • Assist in maintaining IT infrastructure including LAN/WAN, POS systems, and CCTV surveillance.
  • Support in diagnosing and resolving hardware, software, and basic network issues.
  • Help coordinate with external vendors for equipment maintenance and system upgrades.
  • Provide basic support for firewall and VPN configuration and monitoring.
  • Perform data entry and assist users in Oracle modules under supervision.
  • Help document IT procedures, system updates, and workflow changes.
  • Assist in creating and updating Excel-based performance dashboards.

  • Provide remote support using tools like TeamViewer and AnyDesk.

Accountabilities & Responsibilities

The Administrative Assistant will report to the President. In this role, you will be providing administrative support, coordination, and management of administrative tasks. In addition, you will have the following responsibilities:

  • Compile invoices/receipts to support credit card expenses then process them in Corcentric.
  • Reconcile the monthly credit card statements then validate against the receipts from various departments.
  • Ensure that expenses are charged accurately to the right GL account and Department and are recorded promptly.
  • Maintain and safekeep our company credit card.
  • Use the company credit card and register it to pay for recurring expenses like software subscriptions and other expenses.
  • Coordinate with the Jonas Accounts Payable (AP) Team and RBRO Team for invoices that need to be processed and paid. Follow up with the AP Team in case of delays in payment.
  • Prepare the initial renewal records including reconciling Salesforce, strategic pricing sheets, and monthly billing sheets, highlighting anomalies for leadership review.
  • Create and analyse requested reports and system records to determine trends and metrics that can be used to advise our tactical processes.
  • Ensure that non-technical case activities are actioned promptly, such as follow-ups.
  • Assist the Jonas Billing Team in completing our Company supplier form if requested by customers and assist in registering RBRO as a supplier in the customer payment portal.
  • Assist in the planning, coordination, and execution of various employee engagement activities and Company events.
  • Assist in preparing Townhall materials particularly related to new hire introductions, Team member shout outs, etc.
  • Assist in booking meeting rooms and arranging catering at the Jonas office during planning sessions, Company events, etc.
  • Act as the Company’s point person for office administration and assist the team with their requests including shipping of client laptops, purchasing of office supplies needed for planning, etc.
  • Perform other duties as required.

ABOUT THE CANDIDATE

Qualifications & Experience

REQUIREMENTS:

  1. 1-3 years of work experience as an Admin or Finance Assistant
  2. Background in Accounting, Finance, or Business; University or College degree is an asset
  3. Strong analytical and problem-solving skills with a solutions-oriented approach to challenges
  4. Hands-on experience with a Financial system like QuickBooks or General Plains and MS Office Suite (Excel, Word, Outlook, Powerpoint)
  5. Advanced MS Excel skills is an asset (pivot tables, vlookups)
  6. Excellent attention to detail, ability to multi-task, and resourceful
  7. Excellent verbal and written communication skills and ability to collaborate cross functionally
  8. Self-motivated, proactive individual with a can-do attitude
  9. Works well under pressure with minimum supervision
  10. Able to succeed in an entrepreneurial environment with changing priorities
